Nomad Food & Design, London�s upscale caterer has launched a guide to help Christmas party planners get their events through the rigorous scrutiny of in-house procurement departments.

Balancing cost savings and recognising staff is high on the boardroom agenda as the season of goodwill approaches. And with procurement departments� increasing presence in business decision making, the need for festive celebrations to be quantifiable has never been more prevalent.

Manage the metrics: Key Performance Indicators are the measure of success. KPI�s should make abundantly clear all of the parameters of the proposed event: � numbers � exactly what is included in the cost (food, drinks, venue hire) � cancellation terms � deposit terms

Clarify the savings that you have achieved: For example - �We have negotiated a deal at �75 per head for a fully inclusive package based on a party for 100 people. As we were quoted �100 at the outset, this represents a cost saving of �2,500 or 25%.�

Reiterate the words of HM Customs & Revenue: �Where an employer provides entertainment for the benefit of employees for example to reward them for good work or to maintain and improve staff morale, it does so wholly for business purposes.� The legislation continues �Thus the VAT incurred on entertainment for employees, for example staff parties, team building exercises, staff outings and similar events is input tax and is not blocked from recovery under the business entertainment rules.� � Reclaim the VAT on your Christmas party.

Corporate responsibility: Hosting an event will often help to assert an organisation�s corporate responsibility statement as it seeks to become an �employer of choice�.

Michael Namock said: �We are very aware that 2009 is a difficult time for companies; the need to demonstrate cost savings has never been greater. However, corporates have a duty of care to their staff and an annual celebration can play a part in the benefits and compensation package. We aren�t suggesting the lavish use of cash, more of a sensitive cost effective celebration that continues to engage employees with the company culture for 2010 and beyond.�
